COACH HOLIDAYS - TERMS AND CONDITIONS
These booking conditions, together with our Privacy Policy and any other written information we brought to your attention before we confirmed your booking, apply to your booking with S&B Trips and Tours Ltd of Scotland & Bates, Appledore, Ashford, Kent, TN26 2AJ (Company number 14460177) ("we" or "us").
Please read them carefully as they set out our respective rights and obligations. In these booking conditions references to "you" and "your" include the lead name person on the booking and all persons on whose behalf a booking is made or any other person to whom a booking is added or transferred.
Booking:
By making a booking, you agree on behalf of all persons detailed on the booking that you have read these booking conditions and agree to be bound by them, and that you are over 18 years of age.
The deposit is required at the time of booking. You must pay the full balance by the balance due date notified to you in your booking confirmation. If full payment is not received by the balance due date, we reserve the right to cancel your booking and charge the cancellation fees set out below.
If the booking is made after the balance due date full payment will be required on booking.
Cancellations by the customer:
Any cancellations must be notified to the company by the passenger that made the booking by email to tours@scotlandandbates.co.uk.
Cancellations charges will be applied as follows, when we receive written correspondence:
The deposit is non refundable
Prior to the balance due date - The deposit only will be charged.
After the balance due date - 100% of total trip cost
Cancellations by the company:
If due to low numbers or operational reasons, we are forced to cancel any excursion, we reserve the right to do so up to 2 workings days prior to departure.
All monies paid by passengers will be refunded. This does not include credit card charges you may have incurred at booking. Following the refund, we shall be exempt from further liability.
Please note if gift voucher payment was made, your refund will be issued as gift vouchers.
Changes and amendments you make to your booking:
Any changes & alterations to your booking, such as change of passengers or pick up point, may result in an administration charge.
Please speak to our Reservations Team who can advise.
Please note that due to operational reasons you may be unable to alter your selected pick up point once your booking has been confirmed.
Seats on Coach:
Please note that seat requests are not guaranteed on tours.
Seat allocations will be confirmed 7 days prior to travel in your emailed travel pack.
Our seat allocation policy is strictly on a ‘first come, first served’ basis with exception to the front seats and the seats adjacent to any mid-coach exit which will be reserved for ‘blue badge’ holders, subject to availability at the time of booking.
Proof of blue badge will be required at the time of booking and all seats will be subject to change.
Wheelchairs
You must advise us of you wish to bring a wheelchair Inc. powered wheelchairs or mobility scooters with you on your trip at the time of booking. Your wheelchair should weigh no more than 20kgs and you must be able to place it into the luggage hold of the coach yourself.
Pick-up locations:
Your travel pack will be emailed 7 days in advance of your date of travel. It will contain your pick-up time, location, and seat location. You are requested to be at your nominated pick up location at least 10 minutes before the departure time.
The company shall not be held responsible for the late arrival of passengers at their pick-up location who subsequently miss the coach and no refund will be made in those circumstances.
Nor shall the company be held responsible for the late arrival of a coach due
to circumstances beyond our control e.g. traffic & weather conditions etc.
Reductions & Suitability:
There are no reductions for senior citizens or for children.
Please note some trips are not suitable for young children & clients with walking difficulties.
Please ensure that you discuss all requirements with a member of our Reservations Team prior to booking.
Special Requests:
All special needs and requests should be notified at the time of booking to tours@scotlandandbates.co.uk. We will make every effort for facilitate special requests however this may not be possible in all circumstances. You should sure you and your party a capable of completing the itinerary for which you have booked.
Passengers with Disabilities:
We are happy to advise and assist you in choosing a suitable holiday. But, as some of the accommodation, resorts, attractions, and events we feature may not cater for even minor disabilities, it is important that, when booking, you advise us of any disability, specific need or complex need you may have and any special requirements that will make sure holiday is suitable.
If a passenger requires personal assistance (for example, assistance with feeding, dressing, toileting, mobilising) then this passenger must travel with an able-bodied companion or carer and written confirmation that such assistance will be provided for the entirety of the holiday will be required at the time of booking. Coach drivers / tour managers are unable to provide such assistance.
We reserve the right to request a doctor’s certificate confirming the passenger is fit to travel. If, in our reasonable opinion, your chosen holiday is not suitable for your medical condition or disability, we reserve the right to refuse your booking. You are responsible for bringing the proper clothing and equipment, which we advise you about in our final trip information. We want you to enjoy your holiday and will help you select an appropriate trip.
Health & Safety:
In some foreign countries, standards of infrastructure, safety and hygiene may be lower than those to which we are accustomed in the UK. You should therefore exercise greater care for your own protection. There may be countries that we visit that have special medical requirements for tourists. These regulations are subject to change and our clients are responsible for complying with entry and current health requirements. If you are not sure of the health requirements for the country you are visiting, you are advised to check with your own GP before travelling. You are also advised to refer to the Department of Health leaflet “Health Advice for Travellers”.
Some people may be at risk from discomfort or deep vein thrombosis (DVT) if they remain immobile on a journey for a long period. If you are planning to undertake a journey of more than three hours, you should consult your doctor, if you have ever had DVT, pulmonary embolism, a family history of clotting conditions, cancer or treatment for cancer, stroke, and heart or lung disease or If you have had major surgery in the past three months.
We reserve the right to refuse any booking in the absence of a doctor’s certificate confirming that you are fit to travel. Where we provide comfort stops you are encouraged to walk around. Exercise reduces any discomfort, which may be caused by periods of immobility.
SMOKING is not allowed on our coaches (including E-Cigarettes) and we do not allow pets or any other animals, although we accommodate registered assistance dogs, but not on overseas holidays.
Travel Documents, luggage, and insurance:
For all Continental holidays, you will require a full 10-year British Passport (machine readable) valid for the period required for the country or countries you are visiting. If you do not hold a full British Passport or have any doubts about your status as a resident British subject, you must check with the Embassy or Consulates of the Countries to be visited to confirm the Passport or visa requirements when you book. We cannot accept responsibility if passengers are not in possession of the correct travel documents. You are responsible for ensuring you are at the correct departure point, at the correct time and with the correct documents. S&B Trips and Tours Ltd reserve the right to modify itineraries to conform with requests from competent authorities both within the UK and abroad.
Excursions which are included in the cost of your booking will not be refunded if they are not taken. Optional excursions booked and paid for in resort do not form part of your booking. Admission fees to buildings may not be included in the price of the holiday, please check.
Please restrict your luggage to one medium sized suitcase (92cm x 46cm x 26cm) per person, weighing no more than 20kg. A small holdall can also be taken on board the coach. We cannot accept responsibility for loss or damage to luggage unless it is established that it is caused by our negligence. On holidays which include overnight stops, you may take a small overnight bag with you. Please do not leave items of value in your main suitcase which may be left on the coach. Should loss or damage occur you may be able to claim through your holiday travel insurance.
We strongly advise that you take out travel insurance for your trip. The insurance should cover medical and repatriation costs, personal injury, loss of baggage and cancellation charges. If you do not have adequate insurance and require our assistance during your holiday, we reserve the right to reclaim from you any expenses we may incur on your behalf which would otherwise have been met by insurers.
Hotel Facilities:
Some hotel facilities and entertainment may be withdrawn for routine maintenance or be subject to seasonal availability and provision of the facilities cannot be guaranteed. Single occupancy of rooms may be subject to a supplementary charge and will be subject to availability.
If for reasons beyond our control, it proves necessary to change your hotel accommodation, we will undertake to provide alternative accommodation of similar or higher classification. If a major change becomes necessary, we will inform you as soon as is reasonably possible if there is time before your departure. A major change is one that we make to your holiday arrangements before departure which involves changing your day of departure, resort area, of offering accommodation with a lower classification. In such circumstances you must opt for one of the following:
- Accept the changed arrangements as notified by us.
- Purchase another tour from us at a 5% discount.
- Cancel your holiday
If you choose (3) we will refund all the money you have paid us but will have no further liability to you.
Local authorities in many towns and cities throughout Europe are starting to introduce or have introduced tourist taxes which must be paid directly to the hotel by all guests in person. No such taxes are included in our prices to you, and we cannot make payment on your behalf or include this tax in your invoice. As soon as we become of any such tax affecting your holiday, we will notify you.
